Reply securely to a normal email
How do you reply securely to a normal email in Outlook with the Zivver Office Plugin?
Somebody sent you a normal email. Now you want to reply with a Zivver message.
Procedure
- Select the email that you want to reply to.
- Click Reply.
- Write the message as usual.
- Click the toggle
in the gray Zivver toolbar to enable secure mailing.
The toolbar turns green to indicate that secure mailing is enabled:.
- Click the
Recipient verification icon.
A window opens with recipient verification methods. - Click the menu next to a recipient.
- Choose recipient verification methods as needed:
- Zivver account – This method is automatically selected if the recipient has a Zivver account. The recipient can read the message immediately. This option is not available for new recipients.
- SMS to new number – Choose this method if you know the recipient’s mobile phone number. They will receive a code via SMS and must enter it in a form to open the message.
- SMS to
phonenumber
– Choose this method to send a new SMS code to a phone number that Zivver already knows. The recipient will receive a code via SMS and must enter it to open the message. - Set up organization access code – Use this method if you want a single access code to be used by all senders in your organization (or domain) when emailing this recipient. The recipient will be asked to enter the code when they receive the message.

– Use this method if your organization has already set an access code for the recipient. The recipient will be asked to enter this code when they receive the message.Note

The description below each option clarifies whether it is an organization or personal access code.\ - Access code – Choose this method if you do not have the recipient’s mobile number, but you can contact them by other means besides email. Choose a code and share it with the recipient through a secure channel. Do not send the code via email, as that would compromise the message’s security.

– Use this method if the recipient already has an access code that you shared earlier. The recipient will be asked to enter the code when they receive the message.Note

. The description below each option clarifies whether it is an organization or personal access code.\ - Verification email – Choose this option only if none of the above options are available. Zivver will send an access code via email. Learn more about verification methods.
- Transport security compliant – Use this method if your organization allows sending messages using transport security (such as TLS, DANE, or PKIX) instead of end-to-end encryption with an access code. If the recipient supports NTA 7516, this will automatically be selected as the verification method. If the recipient supports another compliant transport security method, it may be used depending on your organization’s configuration.
- Optional: Choose a notification language:
- Click the recipient’s email address.
A message card titled Contact information appears. - Choose a language from the drop-down menu next to Notification language.
- Click to save your choice.
- Click the recipient’s email address.
- Click .
- Click Send.
