Organizational Units

Introduction

With Organizational Units, you can manage multiple units within your Zivver organization. This is useful when separate departments operate as their own entities or when the main organization has one or more sub-organizations.

Are You Using Organizational Units?

Organizational Units are a paid add-on. If you’re interested in using them, please contact your Customer Success Manager or send an email to sales@zivver.com.

To check if your organization is already using Organizational Units, try logging in with your admin account on the Organizational Units page. If you can’t access this page, your organization is not using Organizational Units.

Create an Organizational Unit

Once your organization has purchased the option to use Organizational Units, you can create them by following these steps:

  1. Log in at the Organizational Units page.
  2. Click the button.
  3. Enter a name for the Organizational Unit.
  4. If your organization uses the Zivver Sync Tool, also enter an Organizational Unit Identifier.
    This identifier will be used by the Zivver Synctool to automatically place accounts in the corresponding Organizational Unit.

    Domains
    If each Organizational Unit has its own domain, you can use the domains as an Identifier. The Synctool will then automatically synchronize all your accounts from the source and place them in the correct Organizational Unit based on the domain.
  5. Click the button.
    The Organizational Unit is now created.

  6. Optional: Repeat these steps for each additional Organizational Unit.

Manage an Organizational Unit

After creating an Organizational Unit, you can configure the settings below. These settings will only apply to the accounts within the Organizational Unit.

Update the Organizational Unit Details

You can update the name and identifier of an Organizational Unit by following these steps:

  1. Log in at the Organizational Units page.
  2. Click on the Organizational Unit you want to update.
  3. Click the edit icon next to the name of the Organizational Unit.
  4. Update the name and/or identifier of the Organizational Unit.

Follow the steps below to update the logo of an Organizational Unit:

  1. Log in at the Organizational Units page.
  2. Click on the Organizational Unit you want to update.
  3. Expand the Logo card by clicking the button on the right of the Logo card.
  4. Click the button.
  5. Select the file with your logo.
    The logo is automatically saved.

    Please ensure that the image has a 2:1 aspect ratio and a minimum size of 250px by 125px.

If you no longer wish to use a logo for the Organizational Unit, click the button.

Select Guest Branding

If your Organizational Unit should use its own guest branding, follow these steps to select the correct branding:

  1. Log in at the Organizational Units page.
  2. Click on the Organizational Unit you want to update.
  3. Expand the Branding for guest users card by clicking the button on the right of the Branding for guest users card.
  4. Select the branding you want to use for this Organizational Unit.

    Missing branding?
    Don’t see the branding for your Organizational Unit in the list? Contact your Customer Success Manager or email support@zivver.com to request a new branding.
  5. Click the button.
    The selected branding will now apply to all Zivver messages sent by accounts in this Organizational Unit.

Update the Notification Message

Like the main organization, you can set up a disclaimer that will be added to Zivver notification messages. Follow the steps below to configure a notification message:

  1. Log in at the Organizational Units page.
  2. Click on the Organizational Unit you want to update.
  3. Expand the Notification message card by clicking the button on the right of the Notification message card.
  4. Select the language for the setup.

    Language
    The disclaimer you set up will only be added to notification messages in the selected language. Make sure you set a disclaimer for each language you expect your employees to use.
  5. Enter the text you want to add as a disclaimer.

    Markdown
    You can use Markdown syntax to add formatting to your text. Learn more about Markdown in this guide.
  6. Optional: Click the button to send an example to the email address associated with your admin account.

  7. Click the button. The notification message is now saved and will automatically be included in every notification sent by users in this Organizational Unit.

Update the Introduction Message

Like the notification message, you can also set up an introduction message for your Organizational Unit. Follow these steps:

  1. Log in at the Organizational Units page.
  2. Click on the Organizational Unit you want to update.
  3. Expand the Introduce Zivver to new recipients card by clicking the button on the right of the Introduce Zivver to new recipients card.
  4. Enable the toggle_on Send introduction email to new recipients toggle to activate the introduction message.
  5. Select the language for the setup.
  6. Enter a Subject.
  7. Enter your introduction message.
  8. Optional: Click the button to send an example to the email address associated with your admin account.
  9. Click the button.
    The introduction message is now saved and will automatically be sent to new recipients of Zivver messages sent by users in this Organizational Unit.

Manage the Accounts

Within the Organizational Unit, you can manage which accounts should belong to this Unit.

Synctool
If you’re using the Synctool to synchronize users to Zivver, ensure the tool is adding accounts to the correct Organizational Unit.
Manual changes to accounts in the Organizational Unit will be overwritten by the Synctool.

Add Accounts

Follow these steps to add accounts to your Organizational Unit:

  1. Log in at the Organizational Units page.
  2. Click on the Organizational Unit you want to update.
  3. Expand the Accounts card by clicking the button on the right of the Accounts card.
  4. Click the button.
  5. Select the accounts you want to add to this Organizational Unit.
  6. Click the button.
    The accounts are now added to the Organizational Unit.

Search Accounts

You can search for an account using the search bar, or filter accounts by Account types and Status.

Delete Accounts

Follow these steps to delete an account from your Organizational Unit:

  1. Log in at the Organizational Units page.
  2. Click on the Organizational Unit you want to update.
  3. Expand the Accounts card by clicking the button on the right of the Accounts card.
  4. Hover over the account you want to delete.
  5. Click the delete button.
  6. Confirm deletion by clicking the button.
    The account is removed from the Organizational Unit.
The account is removed from the Organizational Unit but remains in your Zivver organization. The user can still log in, and their data is not deleted. See (Un)suspend an account for more information on suspending an account and Delete an account for more details on account deletion.
