Automated User Deletion

Zivver offers an automated process to delete suspended user accounts after 90 days. This feature allows organizations to better align their Zivver account management with existing account deletion policies, thereby saving time and reducing administrative overhead.

Warning
A deleted account cannot be recovered. All data and access to messages will be lost.

How does Automated User Deletion work

Once enabled, this feature will delete users after 90 days. This means that:

  • Accounts already suspended for more than 90 days when the feature is enabled will be deleted within the next 24 hours.
  • Accounts suspended for less than 90 days will be deleted 90 days after their suspension date.

Full Admins and Functional Accounts are not affected by this feature.

Procedure

  1. Log in to the Zivver WebApp.
    Note
    If your organization uses Role-Based Access Control, you need the Full Admin role to enable or disable this feature.
  2. Click the Organization Settings icon at the bottom left of your browser window.
  3. Expand User administration.
  4. Click Account automation.
  5. Select Automatically delete suspended accounts after 90 days recommended.
  6. Click .
  7. Review the information in the confirmation screen.

FAQs

What happens if I unsuspend a user?If you unsuspend a user, they will not be deleted anymore. If you suspend the user again, the suspension date will reset to the last suspension date.
What happens if I disable the setting?If the setting is disabled, no accounts will be automatically deleted.
Can an administrator still access messages of a deleted account?No. Administrators cannot access messages of deleted accounts. If administrators need access to the messages of a specific mailbox, we recommend converting the mailbox to a functional account.
Can recipients of messages sent by deleted users still access these messages?Yes. Messages sent by deleted users remain visible to recipients. If you want messages to also be deleted for recipients (30 days after the sender is deleted), please contact our Support team to enable a message deletion feature that we offer.
Can I recover a deleted account?No. Deleted accounts and their associated data cannot be recovered. Please ensure the suspension process is correct before enabling this feature.
Does this feature affect functional accounts?No. Functional accounts are excluded from automatic deletion.
Does this feature affect administrators?If your organization uses Role-Based Access Control, automated deletion does not apply to Full Admins, but it does apply to other administrator roles. If your organization does not use Role-Based Access Control, automated deletion does not apply to any administrator.
Can I exempt suspended accounts from being deleted?No. Currently, there is no way to exempt accounts from this process. A workaround to retain access to the data is to convert the account to a functional account.
Can I set a custom deletion timeframe?No. This timeframe is fixed, as it aligns with the retention policies of most of our customers.
What happens if my organization uses automated synchronizations?The feature works alongside automated synchronizations and will gradually delete accounts in small batches based on the synchronization schedule.
How do I track which accounts were deleted by this feature?The audit log captures an event for each deleted user account.
