Introduction

With Zivver, you can securely send messages from Oase. Easily and safely send appointment reminders, referrals, and invoices directly from Oase. You can also choose to send a message as a regular message or as a secure message.

To send emails securely from Oase, you need a business Zivver account in combination with the Zivver Mail Submission add-on. For Mail Submission, you need an Ultimate subscription and a contract that includes Mail Submission. To activate Mail Submission, contact sales@zivver.com.

Getting Started

To send emails securely from Oase, you need a business Zivver account. Follow the steps below to easily check whether your account is a business account and which organization you belong to. Repeat these steps for each email address you use in Oase.

  1. Open a web browser and go to https://app.zivver.com.
  2. Log in with your email address and password.
  3. Go to Personal Settings.
  4. At the top of your profile, you will see the name of the organization you belong to. It will show:
    Your account is part of [name of your organization]
  5. Your account is suitable for sending secure emails from Oase.
    Note
    If you do not see the text Your account is part of [name of your organization], but you do have a business account, ask your organization’s administrator to invite you.

Setting Up Mail Submission in Zivver

To set up secure emailing in Oase, use the Zivver Mail Submission functionality. You need to be an administrator to configure this.

  1. Go to SMTP credentials.
  2. Click .
  3. Enter a description.
    For example, “Oase”.
  4. Click .
    A new window will open with a username and password. These details are shown only once. Save them carefully!
  5. Click .

You have now generated an SMTP username and an SMTP password. You will enter these details in Oase later. Make sure to store the SMTP username and SMTP password from the steps above safely.

Setting Up Secure Emailing in Oase

Secure emailing from Oase is possible from version 3.2.12.

  1. Start Oase.
  2. Go to Administration > Email Accounts.
  3. Add a new email account.
  4. Enter a Code.
    For example, Zivver.
  5. Enter smtp.zivver.com:587 for SMTP server.
  6. Enter the Username from the previous chapter Setting Up Mail Submission in Zivver under SMTP Username.
    Warning
    Do not enter the email address of a Zivver account here. Use SMTP credentials to send messages via Zivver using Mail Submission. At this step, enter SMTP Username, not the email address of a Zivver account.
  7. Enter the Password from the previous chapter Setting Up Mail Submission in Zivver under SMTP Password.

  8. Optional: disable the SMS verification option if you do not want to add extra protection using the patient’s mobile number. If this option is enabled, the patient can read the message after entering an SMS code.
  9. Save the new email account.
  10. Go to Administration > Practices.
  11. Select the Zivver account under Secure Mail Account.
  12. Save the changes.
  13. Go to Administration > Settings > Other and choose the desired option under Secure mail via letter screen. Options: Do not use / Always use / Can be disabled per email / Can be disabled per email after confirmation.

Repeat steps 10 through 13 for each practice. You can now send secure messages from Oase.

Sending a Secure Message

  1. In the patient record, click Letters.
  2. Check that Secure is displayed next to the sender.
  3. Compose the message.
  4. Send the message as you normally would.

The recipient will now receive the message securely via Zivver.
