MailStore Server and Zivver integration

Introduction

This guide describes how MailStore Server works together with the Zivver Office Plugin for Outlook. Learn how to archive sent and received Zivver messages.

MailStore Server is an archiving solution that centrally archives email messages. Messages are archived from the mail server (not from the client). MailStore Server runs on a Windows or Windows Server environment and supports many different types of mail servers.

As an administrator, use the MailStore Client to configure which mailboxes are archived and when (for example, every hour or every night). You can view the archive directly in Outlook via the MailStore plugin, or use MailStore Web Access to view the archive in your browser. Using both clients, messages can not only be viewed, but also downloaded or restored.

Archiving a sent Zivver message

Use MailStore Server to archive sent Zivver messages. By default, MailStore automatically archives the Sent Items folder. Once you send a Zivver message, MailStore will archive it during the next run. However, the content of the Zivver message is not immediately readable in the archive. Instead, you will see the notification message for the sent Zivver message, because the message itself is encrypted. In the next section, you can see how to read an archived message.

Reading a Zivver message from the archive

MailStore offers two clients to view the archive: the MailStore plugin for Outlook and MailStore Web Access in your browser. Depending on which client you use, you can read the archived, encrypted Zivver message as follows:

  1. With the MailStore plugin, you can read the Zivver message directly from the archive in Outlook. Select a message and click the Open Message button in the MailStore plugin to open it. The Zivver Office Plugin decrypts the message so you can read it immediately and reply securely.
  2. From MailStore Web Access, you first download the message as an MSG file and then open and read it in Outlook. The Zivver Office Plugin decrypts the message so you can read it immediately and reply securely.

Another option is to use the Save sent Zivver messages unencrypted setting, which allows the Office Plugin to replace the notification message with the unencrypted and therefore readable message. This happens in the background during sending. During the next run, MailStore then archives the unencrypted, readable, sent Zivver message. After this, a sent Zivver message is immediately readable in the archive.

Enable unencrypted storage

The Zivver setting Save sent Zivver messages unencrypted ensures that a sent Zivver message is stored in a readable format in Outlook. You can enable this setting for your personal account in Outlook, or configure it centrally as an administrator via the admin dashboard.

Enable unencrypted storage in the Office Plugin

Follow the steps below to enable unencrypted storage for your personal account in Outlook.

  1. Open Outlook.
  2. Go to the Zivver tab in the ribbon.
  3. Click tune Settings.
  4. Enable the Save sent Zivver messages unencrypted option.
  5. Click .

From now on, sent Zivver messages are automatically stored unencrypted.

Enable unencrypted storage centrally as an administrator

Follow the steps below to centrally enable the Save sent Zivver messages unencrypted setting as an administrator via the admin dashboard.

  1. Log in as an administrator at https://app.zivver.com.
  2. Go to Organization Settings.
  3. Expand Policies.
  4. Go to Plugin settings.
  5. Enable the Save sent Zivver messages without encryption option:
    • Select On, user adjustable to allow users to enable or disable this option themselves in Outlook.
    • Select On, enforced to prevent users from disabling this option in Outlook.

From now on, sent Zivver messages are automatically stored unencrypted for users.

Archiving a received Zivver message

Received Zivver messages are automatically archived by MailStore during the next run. However, the content of the Zivver message is not immediately readable in the archive. Instead, you will see the notification message for the message, because the message itself is encrypted.

In the following sections, you can read more about the options to make Zivver messages readable in the archive.

Enable unencrypted storage

Received Zivver messages are archived during the next run. Use the Save received Zivver messages unencrypted setting so that the Office Plugin replaces the notification message with the readable message. This happens in the background as soon as you view the message. Depending on whether the message has been read at the time of archiving, it will be archived as readable or not readable.

After enabling unencrypted storage, messages are archived as follows:

  • A received Zivver message is archived as readable if the message was viewed before it was archived.
  • A received Zivver message is archived as unreadable if the message is archived before it was read.

Archive only read messages

To prevent received Zivver messages from being archived as unreadable, have MailStore Server archive only read messages. Use the Save received Zivver messages unencrypted setting so that the Office Plugin replaces the notification message with the readable message. This happens in the background as soon as you view the message. By archiving only read Zivver messages, you prevent a message from being archived as unreadable.

In the next section, you can read how to have MailStore Server archive only read messages. Later in this chapter, you can read how to enable Save received Zivver messages unencrypted.

To prevent received Zivver messages from being archived as unreadable, have MailStore Server archive only read messages. Use the Save received Zivver messages unencrypted setting so that the Office Plugin replaces the notification message with the readable message. This happens in the background as soon as you view the message. By archiving only read Zivver messages, you prevent a message from being archived as unreadable.

Adjust profile to archive only read messages

Follow the steps below to adjust a profile so that only read messages are archived.

  1. Open MailStore Client and log in.
  2. Go to Archive E-mail.
  3. Select a profile.
  4. Click Properties.
  5. Click Next.
  6. Disable the Also archive unread messages option.
  7. Click Next.
  8. Click Finish.
